The Opportunity

Reporting directly to the Company Secretary, we are seeking a highly organised and collaborative Company Secretarial Assistant for a 6-month contract role.  In this role, you will provide comprehensive administrative and secretarial support to ensure the efficient and compliant operation of the Company Secretarial function for Frasers Property Industrial Australia.

You will act as a key point of contact across the business, working closely with the Executive Leadership team, General Managers, and the broader administrative support network.

What you’ll do

  • Corporate Meetings: Prepare and collate committee papers, administer the BoardVantage portal to ensure secure distribution of materials, prepare shell minutes, and coordinate committee meetings and C-Suite schedules.
  • Governance & Compliance: Maintain statutory registers, manage ASIC lodgements, administer platforms like GEMs/Diligent Entities, and support the full lifecycle of corporate entities.
  • Bank Guarantees & Document Execution: Oversee the end-to-end bank guarantee process, manage document execution for both wet-ink and electronic signatures (DocuSign), and update company secretarial records and group structure diagrams.
  • Leverage Innovation: Utilise AI tools to collate data, identify opportunities to improve governance processes, enhance productivity, and solve complex problems.
  • Audit & Reporting: Coordinate the timely collection of records to support internal and external audits and act as a central contact for ad-hoc corporate information requests.

What you’ll bring

  • Experience: Proven experience in a senior administrative or coordination role within a dynamic corporate environment. Experience within a company secretarial, corporate legal, or governance team is highly regarded.
  • Qualifications: A Higher School Certificate (or equivalent) is essential, while completion of or progress towards a Certificate in Governance Practice is highly regarded.
  • Technical Skills: Advanced proficiency across the Microsoft Office Suite with extensive experience in calendar management and document formatting. Experience with board portals and entity management software is beneficial.
  • Attributes: You operate with complete confidentiality, a high level of integrity, and an exceptionally high level of accuracy.
  • Working Style: You are a resourceful problem solver who thrives in a fast-paced environment, capable of managing multiple priorities and building strong professional relationships at all levels.
